Labels
Labels are small, colored markers for your documents – Approved for payment, Do not pay – disputed, Urgent. They belong to the whole workspace, so a label means the same thing to people, agents and integrations. You'll find them under the tag icon in the header. The tiles count your labels, system labels and assignments. Click a label to see how it's used, which group it belongs to and who created it.
New label
To create one, click New label. Fill in a key – it can't change later – a name, a color, and a short description, so everyone knows when to use it. Labels in one exclusive group replace each other. On hold joins Approved for payment and Do not pay – disputed in the group payment – so an invoice is never approved and on hold at once. Allowed targets keep it on documents. The preview shows the chip just as everyone will see it – save, and it's ready.
File Manager
In File Manager, labels travel with your documents. When you upload, pick labels for the whole batch – this morning's paper mail gets Paper original. In the Explorer, every row shows its labels. Filter by a label, and only those documents stay – here, the three disputed invoices. Select documents, click Labels, pick one and add a note – it lands on all of them at once. And on an open document, the Labels card adds or removes a label right where you're reading.
System labels
As processing runs, DocReveal adds system labels: Validation passed or failed after the business rules, Mapped, Knowledge graph indexed. They're defined by the platform and read-only. Only Needs review can be added by hand – to flag a document for a colleague. In Settings, color them by meaning: green when it passed, amber for a warning, red when it failed. So INV-88180 tells you at a glance what went wrong.
Explorer
The Explorer on the Labels page finds everything that carries a label – documents, and also artifacts and revealements. Combine labels – any of, or all of – and filter by target class, period, channel or who assigned them. Here's everything an agent labeled. One click opens the full story: every label with who added it, when, through which channel – and the note. Select rows to add or remove labels in bulk – and Copy link shares exactly this view.
Agents
Agents use labels too. Among the built-in tools are Assign labels and Remove labels – and our Invoice triage agent has both. When INV-88180 failed the checks, it put Do not pay – disputed on the invoice, with a note why – and asked a person what to do next. One click on the answer, and the agent finishes the job. Whether agents may assign labels at all is one switch in Settings.
Integration flows
In Integration Manager, a label can start a whole process. This flow listens for documents getting a label, but only when it's Approved for payment. Then it loads the invoice data, sends it to the ERP, and adds a label of its own – Exported to ERP – so nobody enters it twice. Every run is logged – two approved invoices, two payables, two new labels.
RAG chat
Labels are also something you can ask about. In RAG chat: which invoices are labeled Do not pay – disputed, and why? The chat looks the label up – and answers with all three invoices, the reason from each note, and 35,845 dollars on hold. And every point links back to its document.
MCP
External AI assistants connect through MCP and use the same labels – on your terms. In MCP Manager, the Labels capability can require a person's approval. Reading labels runs right away; assigning, removing and creating them are sensitive actions. So when our AP assistant asks to label INV-88163, the request waits in Agent Manager. Add a comment, approve – and only then is the label added. MCP Manager's activity shows the whole exchange: the request waiting, then done.
Activity
Activity shows who added or removed which label, on which document, and when – grouped by day. The channel tells you how: over MCP, on upload, in the application, from an integration, by an agent – or by the platform itself. Definitions are tracked too – who created a label, and what changed. And the Labels category in Settings sets the rules: how many labels a document can carry, default labels for uploads, and what agents may do. That's labels – one shared language for people, agents and integrations.
