Your own environment
Keldmoor Industrial Supply is a large company. Its teams work with documents every day. Keldmoor wanted DocReveal entirely to itself: in its own AWS account, in a region it chose. So the whole platform runs there, and Keldmoor's documents are kept there. Nothing is shared with other DocReveal customers.
Workspaces
Inside, every team gets a workspace of its own: accounts payable, finance, legal, logistics – twelve in all. Each workspace has its own people, its own documents, its own plan and its own AI budget. And the teams stay apart: HR's payroll files are for HR only.
Admin
Twelve workspaces need someone to look after them: Theo and his IT team. They work in Admin – one app above all the workspaces. From here they see every workspace, help any team, watch costs and limits and keep the platform running. And every action is recorded: who did it, when and why.
Overview
Theo's morning starts on the Overview. How are the workspaces doing? 11 of 12 were active this week, with 889 processing runs in the last day. Two need attention: a failed run at Logistics, and Sales Ops close to its AI limit. Every number opens the list behind it.
Tenants
In Admin, a workspace is called a tenant. Tenants lists all twelve – plan, health, AI use and last activity. Filters on the left narrow the list: by status, health or lifecycle. Select several and act on all of them at once – a tag, a note, a message or an export. Segments are ready-made lists, like workspaces near their AI limit.
Workspace
Sales Ops is busy with quarter-end quotes. Theo opens its workspace. 9 users, 760 files – and 93 percent of this month's AI tokens already used. In Plan & billing, Theo adds an entitlement: AI PACK 5M until November 1, with a reason and the workspace name typed to confirm. Grant. The AI limit doubles to 10 million tokens – Sales Ops is back under half.
Pipelines & Runs
Next, the failed run at Logistics. Pipelines & Runs shows what failed, where and why. A scanned bill of lading, stopped by a temporary AI error. A rerun usually succeeds. Rerun, with a short reason for the audit trail – and the new run starts.
Notifications
On Saturday morning, the platform gets its monthly update. Theo lets every team know. Compose has three steps. Audience: all active workspaces – everyone in them. Channels: an in-app announcement and an e-mail. Type: Maintenance. The preview shows what people will see. Review counts the recipients: 75 people in 12 workspaces. Theo sends a test to himself first. Then Send – with a reason and the number of recipients typed to confirm.
Billing
Billing shows what the workspaces pay: 11 active subscriptions, €1,875 a month. Each one with its plan, price and renewal date. Nothing to collect, and the payment records agree with DocReveal.
Issues
When a team needs help, they send a request from their workspace. Issues collects them from all twelve. Who asked, from which workspace, how urgent – and where it stands. This morning Logistics reported the failed scan – the one Theo has already run again.
Domains ops
Teams also build their own automation: integrations, connectors, agents and rules. Domains ops watches all of it. One queue shows what needs a look: a carrier portal sync running too long, an ERP connection that stopped working. Each item shows what happened and which team it belongs to.
Platform
Platform looks after DocReveal itself: is everything running, what has changed, and what does it cost? Health checks and service pings – all online. FinOps shows this month's AWS bill, the forecast and the AI cost of each workspace. Security keeps watch over keys, sign-ins and blocked requests.
Operators & Audit
Operators & Audit shows who can work in Admin: two admins, an operator and a viewer, all with two-factor sign-in. And every action is on record: the notice, the rerun and the AI pack – each with who, when and why. Open an entry for the detail: the name typed to confirm, and what changed – before and after. One company, its own AWS account, a workspace for every team – and one app to run them all.
